1Who we are

Nettl of York is a print, web and design studio in York. We're an independently owned Nettl Partner, part of the national Nettl network.

Nettl of York is a trading name of Chilli Cactus Limited, registered in England and Wales (company number 5803461), Blake House, 18 Blake Street, York, YO1 8QU. For the purposes of UK data protection law, Chilli Cactus Limited is the "controller" of your personal information.

2What we collect

We only collect what we need. Depending on how you deal with us, this may include:

• Contact details – your name, business name, email address, phone number and postal or delivery address.
• Enquiry and project details – what you tell us through our enquiry and quote forms, by email, on the phone or in person, such as what you need, timescales and budget.
• Order and account information – quotes, orders, invoices and payment records.
• Files and content you send us – such as logos, photos, text and artwork for your project.
• Website information – technical details like your IP address, browser and device type, and the pages you visit. See Cookies below.

We don't ask for sensitive information (like health details), and we don't hold your card details – card payments are handled securely by our payment providers.

3How we use your information

Data protection law says we must have a lawful reason (a "lawful basis") for using your information. Here's what we use it for and why:

4Marketing

We'll only send you marketing emails, texts or calls if you've said yes – for example by ticking the box on one of our forms. Every email includes a link to unsubscribe, or you can just email york@nettl.com and we'll take you off our list.

We will never sell or rent your information to anyone.

5Who we share it with

We only share your information when we need to, and only what's necessary. This may include:

• The Nettl network – as explained in our terms and conditions, your details may be passed to Nettl Systems Limited for accounting and marketing purposes.
• Suppliers and production partners – such as printers, sign makers and couriers who help make and deliver your order.
• Service providers – such as our website hosting, email, IT, accounting and payment providers.
• Professional advisers – such as our accountants, lawyers and insurers.
• Where the law requires it – for example to comply with a court order or to prevent fraud or other crime.

Anyone we share information with must keep it secure and only use it for the job we've asked them to do. If our business (or part of it) is ever sold or restructured, your information may be transferred as part of that, but it will stay protected.

6Cookies

Cookies are small files stored on your device when you visit a website. We use them to make our site work properly and to understand how people use it so we can improve it.

• Essential cookies – needed for the site to work, such as remembering your cookie choices.

7How long we keep it

We keep your information only for as long as we need it for the purposes above. Business and accounting records, such as invoices, are kept for as long as the law requires – usually six years. Enquiries that don't lead to any work are deleted when they're no longer needed.

8How we keep it safe

We take sensitive information seriously and use sensible measures to protect it, including secure (SSL) connections on our website, password-protected systems and limiting access to people who need it.

No method of sending information over the internet is ever 100% secure, but once we receive your information we do our best to keep it safe.

9Transfers outside the UK

Some of the service providers we use may store information outside the UK. Where this happens, we make sure appropriate safeguards are in place to protect it, as UK data protection law requires.

10Your rights

Under UK data protection law you have the right to:

• Access – ask for a copy of the information we hold about you.
• Correct – ask us to fix anything that's wrong or incomplete.
• Delete – ask us to erase your information where we no longer have a good reason to keep it.
• Restrict or object – ask us to stop or limit how we use your information, including for marketing.
• Portability – ask for your information in a format you can take elsewhere.
• Withdraw consent – at any time, where we rely on your consent.

11Children

Our services are for businesses and adults. If you're 16 or under, please get permission from a parent or guardian before giving us any personal information.

Our website may link to other websites. This policy only covers our site, so please read the privacy policies of any other websites you visit – we can't be responsible for how they handle your information.
